Privacy policy
Effective September 4, 2026
Milefold is a company-provisioned mileage service. This policy explains the information Milefold handles when staff record work trips and companies manage mileage records.
Information Milefold handles
Account information includes your name, email address, company, account role, authentication records, and notification settings.
Trip information can include precise GPS points, start and end times, addresses, distance, duration, trip purpose, notes, classification, approval history, mileage rate, reimbursement amount, manual entries, edits, and split-trip details.
Milefold may also store vehicle details, favorite locations, odometer entries, push notification tokens, and the technical information needed to sync the app and protect an account.
When location is recorded
Manual recording begins when you tap Start and ends when you stop the trip. If you enable automatic trip detection, the app uses background location and speed to detect driving. Your employer cannot remotely start recording or require automatic detection.
You can turn automatic detection off in Profile and revoke location access in device Settings. Signing out stops recording on that device. Background location allows a trip to continue while the screen is locked or the app is in the background. Trip points may remain on the phone while it is offline and upload when a connection returns.
How the information is used
Milefold uses this information to record trips, calculate mileage and reimbursement, submit trips for company review, deliver account and trip notifications, prevent unauthorized access, and provide support.
Milefold does not sell personal information or use trip and location data for third-party advertising.
Who can access it
Authorized administrators at your company can access the account and submitted trip information needed to review mileage, apply company rules, prepare reports, and resolve questions. Milefold platform administrators can access data when needed to operate the service or provide support. Draft routes are private to the staff member within the company portal.
Service providers process data for hosting, database operations, transactional email, push notifications, maps, and related app functions. They receive only the information needed to provide those services and are required to protect personal information consistently with this policy.
Retention and requests
Mileage records are retained for the participating company’s business and recordkeeping needs. Retention can depend on the company’s policies and applicable law. Your company administrator can help with access, correction, or deletion requests connected to your employment records.
If the request concerns the Milefold service itself, start with the instructions on the support page.
Security and policy changes
Milefold uses access controls and encrypted network connections to protect data in transit. No service can guarantee absolute security, so report suspected unauthorized access to your company administrator promptly.
This policy may change when the product, providers, or legal requirements change. The effective date at the top of this page will be updated when a revised policy is published.
