Terms of use

Effective September 2, 2026

These terms govern access to Milefold, a company-provisioned mileage service. By accessing or using Milefold, you agree to these terms and to follow the policies of the company that provided your account.

Company-provisioned accounts

Milefold does not offer public self-service accounts. A participating company creates or authorizes each account and decides who may use its company portal and staff app.

You must provide accurate account information, keep your sign-in credentials secure, and promptly report suspected unauthorized access. You may use only the account and company records you are authorized to access.

Mileage records

Milefold helps staff record trips and helps companies review mileage records. You are responsible for checking that a trip, classification, purpose, vehicle, distance, and manual entry are accurate before submitting them.

Your company controls its mileage rates, approval rules, reimbursement decisions, reporting, and record-retention requirements. Milefold does not guarantee that a trip will be approved or reimbursed and does not provide tax, accounting, employment, or legal advice.

Location features

Manual trip recording starts and stops at the staff member's direction. Automatic trip detection is optional and must be enabled by the staff member. When location access is granted, recording may continue while the app is in the background or the screen is locked.

GPS, device, network, and map services can be delayed or inaccurate. You should review every recorded route and use the manual-entry tools when a trip is incomplete or incorrect. Do not interact with the app while driving.

Acceptable use

You may not use Milefold to submit false records, access another person's account, interfere with the service, bypass access controls, introduce malicious code, reverse engineer the service where prohibited by law, or violate another person's rights or applicable law.

Service availability and changes

Milefold may change, suspend, or discontinue features to maintain security, comply with law, or improve the service. Access may be suspended or ended when requested by the participating company, when an account is no longer authorized, or when these terms are violated.

The service is provided on an “as available” basis. To the extent permitted by law, Milefold does not promise uninterrupted or error-free operation and is not responsible for indirect, incidental, special, consequential, or punitive losses arising from use of the service.

Ownership and third-party services

Milefold and its software, design, and branding are protected by intellectual-property laws. These terms give you a limited, revocable right to use the service for its intended business purpose; they do not transfer ownership of Milefold.

Hosting, maps, email, push notifications, and app-distribution services may be provided by third parties and may also be subject to their terms. The iOS app is licensed under Apple's Standard Licensed Application End User License Agreement in addition to these service terms.

Privacy and updates to these terms

The privacy policy explains how Milefold handles account, trip, location, and device information.

These terms may change as Milefold, its providers, or legal requirements change. The effective date above will be updated when revised terms are published. Continued use after a change means you accept the revised terms.
